Using whenyoufree

Do my friends need to create an account?

No. Friends just click the link you share, type their name, tap the days they're free, and they're done. No app, no account, no password. That's the whole point.

How do I share the link with my group?

After creating an event you'll land on a share page with your unique link. Copy it and drop it in your group chat — WhatsApp, iMessage, Slack, wherever. On mobile you can also use the native share sheet to send it directly.

What do the colours mean?

Green = everyone is free. Orange = some people are free. Red = nobody is free. Grey = no responses yet for that day. Tap any coloured day on the results page to see exactly who's free, maybe, or unavailable.

Can respondents change their availability after submitting?

Yes. If they return to the same link on the same browser and device, their previous selections are pre-filled and they can update them freely.

Can I edit my event after creating it?

Yes — from your dashboard, click Edit on any event to update the title, date range, location, or notes. Changes are reflected immediately.

What happens to past events?

They stay in your dashboard under 'Past events' so you can still view the results. They don't delete automatically. You can archive them to tidy things up, or leave them as a record.

Pro

What does Pro include?

Pro unlocks three things: lock a date (pick a green day and send a confirmation email to everyone who shared their availability), nudge non-responders (one tap sends a reminder to anyone who hasn't replied yet), and unlimited active events (free accounts can run up to 2 at a time).

How much does Pro cost?

£15 once. No subscription, no renewal, no surprises. Pay once, keep it forever.

Is Pro right for me?

If you run events regularly — work socials, sports fixtures, recurring catch-ups — Pro pays for itself quickly. The nudge feature alone saves a lot of back-and-forth. If you're just planning one-off get-togethers, the free tier is probably fine.

I bought Pro but it's not showing on my account.

It usually activates within a few seconds of payment. Try refreshing the dashboard. If it's still not showing after a minute, email [email protected] with your order details and we'll sort it straight away.

Can I get a refund?

Yes — if Pro isn't working for you, email [email protected] within 7 days of purchase and we'll refund you, no questions asked.

Account & data

How do I delete my account?

Go to Account (top right on your dashboard) and scroll to 'Delete account'. This permanently removes your account, all your events, and every response from your invitees. It can't be undone.

Can I download my data?

Yes — in your Account page, hit 'Download my data' to get a JSON file containing your events, respondents, and availability records.

How do you handle my data?

See the Privacy Policy for the full picture. Short version: we collect only what’s needed to run the service, we don’t sell data, and you can delete everything at any time.
